Following up after you apply: when to write and exactly what to say

You applied. Nothing came back. Should you write? Yes, once, if you do it well.

A good follow-up is short, polite and useful. A bad one is long, needy or repeated. This post gives you the timing, the target and the words.

When to write

  • Wait five to seven working days after you apply. Sooner looks pushy. Later loses the thread.
  • Write earlier if the post names a closing date within the week.
  • Write the same day if you have a referral. Tell the person who referred you that you applied.

Write on a weekday morning.

Who to write to

Pick in this order.

  1. The recruiter named in the post or the email.
  2. The hiring manager, if you can find the name. Look at the team on the company page.
  3. A person in the team who might forward you. Use the message in how to ask a stranger for a referral.

Do not write to the CEO. Do not write to five people at once. Pick one.

Message 1: to the recruiter

Subject: Application for Senior Brand Manager, Mumbai

Hi [Recruiter's name], I applied on Monday for the Senior Brand Manager role. I have run two product launches in consumer goods, close to what the post describes. I attached my CV again for ease. Could you tell me where the application stands? Thank you, [Your name].

Message 2: to the hiring manager

Hi [Manager's name], I applied for the brand manager role in your team this week. In my current role I manage agency briefs and trade promotions across Mumbai and Pune, which looks close to your first two duties. If it helps, I can share a short note on how I would approach the first 90 days. Thanks for your time, [Your name].

The offer of a short note is optional. Send it only if you can write it.

Message 3: after an interview

Send within a day.

Hi [Recruiter's name], thank you for your time today. I enjoyed the talk on the launch calendar. One point I want to add: on the agency question, I would start by reviewing the last two campaigns' results. I am keen on the role. Thanks, [Your name].

Add one fact you forgot. Do not repeat your CV.

Message 4: when the date they gave has passed

Hi [Recruiter's name], you mentioned a decision by the 20th. I wanted to check if there is any update. I remain interested. If the role has moved on, I would be glad to know. Thanks, [Your name].

What not to write

  • "Just checking in." It says nothing.
  • "I have not heard back." It sounds like a complaint.
  • A long paragraph about your life.
  • A second and third follow-up in the same week.

If there is still no reply

Wait two weeks. Send one last line. Then move on.

Silence often means the role is paused, filled or buried. It does not mean you were judged.

Keep your follow-up honest

Never claim you have another offer if you do not. Never claim you know someone you do not. If you do have another deadline, say it plainly.

Subject lines that get opened

  • "Application: Senior Brand Manager, Mumbai".
  • "Following up: Brand Manager application".
  • "Thank you: Brand Manager interview".

Put the role in every subject. A recruiter handles many roles at once.

Keep a tracking sheet

Make a simple table: job, date applied, contact, follow-up date, status. Set the follow-up date when you apply. It stops you from forgetting, and from writing three times.

With a referral

If someone referred you, tell them when you apply. Ask nothing more. If you hear nothing after a week, write to the recruiter and mention the referrer's name in one line, only if they agreed.

Timing around holidays and results

In India, hiring slows around major festivals and at financial year end for some teams. If you apply in those weeks, add a week to the waiting time before you follow up. A note that says "I know this is a busy week" costs nothing and shows you read the room.

How to read the silence

No reply after two follow-ups tells you one thing: this route is closed. Do not take it as a verdict on your work. Open the next job on your list.
